Welcome to VideoScribe. This Privacy Policy describes how we handle your information when you use our video transcription and subtitle generation platform. We believe your privacy matters, and we've built our service with that principle in mind.

Information You Provide

When you sign up for VideoScribe, we collect your name, email address, and Google account identifier through Google's authentication service. The videos you upload for transcription are temporarily stored on our servers during processing.

Technical Information

Like most web services, we automatically collect certain technical data when you visit our site. This includes your IP address, browser type, operating system, referring URLs, and device information. We use this data to maintain service security and diagnose technical issues.

Cookies and Similar Technologies

We use cookies and local storage to keep you logged in and remember your preferences. Specifically, we store authentication tokens to maintain your session. You can disable cookies in your browser settings, but this will prevent you from using certain features of our service.

2. How We Use Your Information

We use the information we collect for these specific purposes:

  • Processing your videos to generate accurate transcriptions and subtitles
  • Managing your account and authenticating your access to our platform
  • Sending you service-related communications (like processing confirmations or technical notices)
  • Responding when you contact our support team
  • Detecting and preventing security threats or fraudulent activity
  • Improving our transcription algorithms and service quality
  • Complying with legal obligations and enforcing our Terms of Service

3. Data Retention

We keep your data only as long as necessary. Here are our retention practices:

  • Account Data: We retain your account information (name, email, and Google ID) for as long as your account remains active. If you delete your account, we remove this information within 30 days, except where we're required to retain it for legal or regulatory purposes.
  • Video Files and Transcriptions: Your uploaded videos and generated transcriptions are automatically deleted from our servers 48 hours after processing completes. This happens automatically—you don't need to do anything.
  • Technical Logs: Server logs and technical data are retained for up to 90 days for security and troubleshooting purposes, then automatically purged.

4. Data Sharing and Disclosure

We don't sell your personal information. Period. We may share information in these limited situations:

  • Service Providers: We use Google for authentication. When you sign in with Google, they handle that process according to their own privacy policy. We also use cloud infrastructure providers to host our service and store data temporarily.
  • Legal Requirements: We'll disclose information if required by law, court order, or government request. We may also share data when we believe it's necessary to prevent fraud, protect our rights, or ensure user safety.
  • Business Transfers: If we're involved in a merger, acquisition, or sale of assets, your information may be transferred to the new owner. We'll notify you before this happens.
  • With Your Permission: We may share your data in other situations when you've given us explicit consent.

5. Data Security

We take reasonable measures to protect your information from unauthorized access, alteration, or destruction. This includes:

  • Encrypting data in transit using industry-standard TLS/SSL protocols
  • Storing authentication credentials securely using Google's OAuth 2.0
  • Limiting employee access to personal information on a need-to-know basis
  • Regularly reviewing our security practices

However, no method of transmission over the internet is 100% secure. While we strive to protect your data, we can't guarantee absolute security.

8. Children's Privacy

VideoScribe is not directed at children under 16. We don't knowingly collect information from anyone under 16 years old. If you're a parent or guardian and believe your child has provided us with personal information, please contact us at support@videoscribe.pro and we'll delete it promptly.

For users in the European Economic Area: if you're between 13 and 16, please get your parent or guardian's permission before using our service.

9. Data Breach Notification

In the unlikely event of a data breach that affects your personal information, we'll notify you and relevant authorities as required by law. We'll inform you about what happened, what information was involved, and what steps we're taking to address the situation.

10. Third-Party Links

Our service may contain links to third-party websites or services. We're not responsible for their privacy practices. When you leave our platform, we encourage you to read the privacy policies of any site you visit.

11. Do Not Track Signals

Some browsers have a "Do Not Track" feature. Currently, we don't respond to Do Not Track signals because there's no industry standard for how to handle them. We'll continue to monitor developments in this area.

12. Changes to This Policy

We may update this Privacy Policy occasionally to reflect changes in our practices or for legal reasons. When we make changes, we'll update the "Last updated" date at the top of this page. If we make significant changes, we'll notify you by email or through a prominent notice on our website before the changes take effect.
